A phone script for rescheduling an appointment
If you need to move an appointment, these suggested phrases can help you start. This guide is for routine, non-emergency scheduling. Check the practice’s official website or patient portal for a written rescheduling option, and check its notice requirements as soon as you know you cannot attend.
Have ready
- The date and time of the appointment you're moving
- Your name and date of birth (that's how they find you)
- Two or three new times that work for you
- A pen
The script
You: "Hi, I need to reschedule an appointment, please. It's under [your name], on [date] at [time]."
If they ask why: you can begin with "Something came up." The practice may ask follow-up questions about timing or its policy. Ask what information it needs if you are unsure.
Offer your new times: "Do you have anything on [day] morning, or [day] afternoon?"
Before you hang up: "So that's [new date] at [new time], still at [location]? Great, thank you."
If there is a cancellation fee or policy
Cancellation fees and notice periods vary by practice. Check the policy for your appointment. If they mention one, you can ask plainly: "Is there a fee for moving it?" If there is and it feels wrong, "Is there any flexibility on that fee?" is a fair thing to say. Asking costs nothing.
Worth the extra thirty seconds
- Repeat the new date and time out loud before you hang up — this helps you check that you both have the same booking details.
- Ask for a confirmation text or email if they offer one.
- If you booked through a portal, check that the old appointment actually disappeared.
If you blank mid-call
"Sorry — one second, let me find the date." Looking at your calendar or notes while on the phone is normal. The person on the other end does this for a living.
